  • Documents: Evidence files, tender documents, and other materials you upload to the platform
  • Usage data: How you interact with the Service, including pages visited and features used
  • Technical data: Browser type, device information, and IP address for security and performance purposes

3. How We Use Your Information

We use your information to:

  • Provide and maintain the Evidis platform
  • Analyse your documents using AI to help with tender responses
  • Improve our Service and develop new features
  • Communicate with you about your account and the Service
  • Detect and prevent security issues

4. AI Processing

We use third-party AI services (including Anthropic's Claude) to analyse your documents. Document content is sent to these services for processing but is not used to train AI models. AI providers process data under strict data processing agreements.

5. Data Storage

Your data is stored securely using industry-standard practices:

  • Documents are stored in encrypted cloud storage (Cloudflare R2)
  • Database records are hosted on managed PostgreSQL infrastructure
  • All data transfers use TLS encryption
  • We do not store your data longer than necessary for providing the Service

6. Data Sharing

We do not sell your personal data. We share data only with:

  • Service providers: Who help us operate the platform (hosting, AI processing, email delivery)
  • Legal requirements: When required by law or to protect our rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict processing of your data
